Process Review and Consulting
Are you wondering if your organization is operating at peak efficiency? Have your processes fallen out of date with current practices? Have you kept up with the rapid pace of technology? Most importantly, are you making the best use of what is available for your organization? Are you sure?
Very often, the decision to have a process review is the result of recognizing that things just aren’t working as well as they should. This is especially the case with accessing information that’s up to date, accurate, and timely. For example, financial statements that take months to prepare but that you want now, so you can make informed decisions about your own organization. The problem: either the reports you need aren’t readily available using your current systems, or your staff doesn’t have the capacity to provide them easily and quickly.
Another clue it’s time for a process review: when work that should be done by technology isn’t being done by technology. These days, inefficient processes and cumbersome manual steps may mean your software is out of date or not set up properly. Sometimes, issues arise because staff have never had the opportunity to get comfortable with the full functionality of a system.
If these are the challenges you face, it’s time to bring your organization up to speed with improved systems and processes. QuintEssential can help.
These are the steps we take to tailor your customized solution:
A process review is collaborative and involves engaging your key staff. Identifying those key players and then creating a schedule that works with everyone’s timeline is an important first step. After all, we may be facilitating the process review and providing the benefit of our experience, but active participation from you and your team informs an outcome tailored to your unique organization.
We facilitate a series of face-to-face workshops, in which we work through the processes together and gather information from your team. We find out what they like or don’t like about existing processes, what they need to work effectively, and their ideas for improvements. Ultimately, these workshops foster engagement and team buy-in and are important in ensuring the final outcome reflects your unique processes and needs.
Process Review Document and Discussions
After each workshop, we develop a report that includes everything discussed, the approach used, recommendations, and detailed process maps to demonstrate precisely how each solution can be implemented. This document is provided to you for review and further discussions and fine-tuning at the next workshop. As we move towards the final outcome, your team will be able to see clearly how instrumental and valuable their input has been in the development of new processes.
Final Process Review Document
We provide you with a final document for sign off that highlights concrete recommendations for changes. If new systems are recommended, this will include a detailed features listing, which can then be used to research and find new or additional software tools. That final document is your step-by-step implementation plan and road map.
If you need help implementing your new plan, we can provide assistance and further consultation on an as-needed basis.
